Manage hybrid work and de-risk an office move to hot desking with reliable attendance data

In 2024, UMG, the umbrella entity of Groupe VYV, rolled out m-work to track and manage hybrid work across its teams. The initial goal was simple: give teams and managers a clear view of who is coming in when, and let HR follow real remote-work practices.

Two years later, that data would play a role nobody had planned for at the outset: de-risking a major office move.

Groupe VYV: France’s leading mutual health and social protection group

Founded in 2017, Groupe VYV brings together mutual insurers and social protection providers around a shared mission: protecting and supporting members throughout their lives. UMG, its umbrella entity, runs the group’s cross-functional departments, including human resources.

Like many large organisations, the group has moved its ways of working towards a hybrid model built on hot desking. A model that only works if you can measure what is actually happening in the office.

The challenge: moving without losing your bearings

In March 2026, Groupe VYV left its historic offices at Le Village, in Paris’s 13th arrondissement, to join MGEN at Chrysalide, its new premises in Montparnasse. A large-scale refit and relocation, still fully hot-desked.

A move of that size raises three questions that are hard to answer without data:

  • How many desks do we need? Sizing hot-desk space on intuition means risking either empty desks or people with nowhere to sit.
  • How do we reassure teams? A change of location unsettles people. Employees want to know they will find a seat and their colleagues.
  • How do we know the transition is going well? Once settled in, you need to see quickly whether usage is following, or whether something is stuck.

The solution: two years of m-work data behind the project

This is where the history built up in m-work since 2024 made the difference. HR had, department by department, two years of attendance declarations — a factual basis for preparing the move rather than enduring it.

  • Clear visibility of attendance habits by department, built on two years of declarations. The sizing of the new offices rested on observed practice, not assumptions.
  • The ability to reassure teams: the numbers showed the new spaces were well matched to current working patterns. A concrete argument during the change-management phase.
  • Attendance tracking from the very first weeks at Chrysalide, to check the transition was going smoothly and adjust where needed.
